Terms of Use

These Terms of Use ('Terms') govern your access to and use of OutbreakGuard ('we', 'our', 'us'), including our website, mobile application, practice and laboratory dashboard, and related services (the 'Service'). By creating an account or using the Service, you agree to be bound by these Terms. If you are creating an account on behalf of an organisation, you confirm you have authority to bind that organisation.

Accounts & Eligibility

The Service is for farm businesses, veterinary practices and diagnostic laboratories, and is for business and professional use only. You must be at least 18, provide accurate information when creating an account and keep it up to date. The person who creates an organisation's account (the 'account owner') is responsible for that organisation's subscription and billing, for which team members and veterinary practices have access, and for the organisation's settings, including Data sharing. Laboratories join by application, which we may accept or decline.

Subscription Plans

We offer a Free plan and paid plans — Premium for farm businesses, Vet Premium for veterinary practices and Enterprise for larger or multi-organisation businesses — each with its own limits. Laboratories pay the platform fee described below instead of a subscription. Pricing and limits are shown in the app and at outbreakguard.com/compare; prices depend on the country in which your organisation is registered and exclude VAT and similar taxes. Custom arrangements are governed by these Terms together with any agreed order form.

Contract Term, Renewal & Cancellation

Paid plans are billed in advance and renew automatically until renewal is cancelled. Monthly plans run from one billing period to the next; the billing period is a calendar month or a fixed 30 days, as shown at checkout. Annual plans are paid upfront for 12 months. The account owner can cancel renewal from the billing page; access continues until the end of the paid period, and periods already paid, including any paid in advance, are non-refundable. If you are unable to cancel in the app, email us before your renewal date and we will turn renewal off. Moving to a lower plan takes effect at your next renewal.

Add-ons

Extra users, premises and eligible veterinary dashboard staff can be added to a paid plan as add-ons, billed on the same interval as your plan. Increases are charged pro-rata for the rest of the paid period. Reductions take effect immediately with a credit toward your next invoice, or at your next renewal, as shown when you make the change.

Payment, Refunds & Failed Payments

Card payments are handled by Stripe. By subscribing you authorise us to charge your payment method on a recurring basis until renewal is cancelled. Except where required by law, fees already paid are non-refundable. If a payment fails, access for the covered organisations may be restricted until payment is made; your records are retained.

Changes to Plans & Pricing

We may change our plans, features or pricing from time to time. Your agreed price does not change during a period you have already paid for. Where a change affects your current subscription, we will give you reasonable advance notice before it takes effect at a later renewal, and you may cancel renewal before then.

Pilot Vouchers and Promotional Access

We may issue pilot vouchers that give an account free, temporary access to paid features. A voucher has no cash value, is personal to the account, can be used once per account and applies only while the account is on the Free plan. When pilot access ends, the account continues on the Free plan unless you upgrade, and anything beyond the Free plan's limits is locked. We may withdraw or extend pilot access.

External Laboratories

Veterinary practices can use the Service to request tests from laboratories. The contract for laboratory services is between the practice and the laboratory, and payment is made directly between them; OutbreakGuard is not a party to it. Laboratories are responsible for their results and pay OutbreakGuard a platform fee on the amounts they invoice through the Service, at the rate shown in their account; access may be restricted while fees are overdue. Each practice sets its own prices to farms. Where a practice charges a farm through the Service, the practice is the seller and payment is made directly to the practice.

Farm and Veterinary Practice Connections

Connecting a farm to a veterinary practice allows that practice and the vets it assigns to use the farm's data in the Service and to receive the cases the farm escalates. The farm can end the connection from the app, subject to a 14-day notice period.

Acceptable Use

You agree to use the Service only for its intended purpose of biosecurity, animal health, and farm-to-vet communication, to provide accurate information when reporting issues or incidents, and not to misuse the Service, attempt to disrupt it, or use it to store or transmit unlawful content. You must not share sign-in details, access data you are not authorised to see, copy or extract data from the Service by automated means, or use it to send unsolicited messages.

Data & Content

You retain ownership of the data you submit to the Service. You grant us the right to host and process it to provide the Service, and you confirm that you are entitled to add the content, photos and other people's details you upload. We may use and share data from the Service to improve animal disease surveillance and the Service, as described in our Privacy Policy, which forms part of these Terms.

Notifiable Diseases and Authorities

The Service supports, and does not replace, professional judgment. Its automated screening may flag a possible notifiable disease; a flag is an alert, not a diagnosis. You remain responsible for your own legal duties, including reporting suspected notifiable disease to the competent authority; OutbreakGuard does not report on your behalf. We may provide information to an official veterinarian or competent authority where the law requires it or on a lawful request.

Termination

At subscription expiry, access to the covered organisations is restricted for members and connected vets; records, memberships and connections are retained, and the account owner can reactivate from billing. To have your organisation's data exported or deleted, contact us. We may suspend or terminate access for breach, misuse or continued non-payment.

Disclaimers & Limitation of Liability

The Service is provided 'as is' and is a communication and record-keeping tool — it does not replace professional veterinary judgment or diagnosis, and we do not guarantee that it will be uninterrupted or error-free. To the maximum extent permitted by law, we are not liable for indirect, incidental, or consequential losses, and our total liability arising from your use of the Service is limited to the fees you paid us in the 12 months before the claim arose. Nothing in these Terms limits liability that cannot be limited by law.

Governing Law

These Terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales. If a translation of these Terms differs from the English version, the English version prevails.

Changes to These Terms

We may update these Terms from time to time. If we make material changes, we will provide reasonable notice before they take effect, such as by email or an in-app notice. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
