Terms of Use

These Terms of Use ("Terms") govern your access to and use of OutbreakGuard ("we", "our", "us"), including our website, mobile application, and related services (the "Service"). By creating an account or using the Service, you agree to be bound by these Terms. If you are creating an account on behalf of an organisation, you confirm you have authority to bind that organisation.

Accounts & Eligibility

The Service is intended for farm businesses and veterinary practices. You must provide accurate information when creating an account and keep it up to date. The person who creates an organisation's account (the "account holder") is responsible for that organisation's subscription, billing, and for managing which team members and veterinary practices have access.

Subscription Plans

We offer a Free plan and paid plans — Premium and Enterprise for farm businesses, Vet Premium for veterinary practices — each with its own limits on users, premises, and features. Plan pricing and limits are shown in the app and at outbreakguard.com/compare, and may vary by currency. Custom/Enterprise arrangements are negotiated individually and are governed by these Terms together with any separately agreed order form.

Contract Term, Renewal & Cancellation

Monthly plans are billed in advance each month and may be cancelled at any time; cancellation takes effect at the end of the current billing month. Annual plans are billed upfront for a fixed 12-month term at a discounted rate compared to monthly billing, and automatically renew for successive 12-month terms unless cancelled. Because annual plans are a fixed-term commitment, self-serve cancellation or switching to monthly billing is only available in the 30 days immediately before your renewal date; outside that window, please contact support to discuss your options. We will make reasonable efforts to notify you before an annual plan renews.

Add-ons

Extra users, premises, and — for veterinary practices — extra supervised farms can be added to a paid plan as add-ons. Add-ons are billed on the same interval as your base plan: monthly if your plan is monthly, or as part of your annual charge if your plan is annual. Increasing an add-on is charged pro-rata for the remainder of the current billing period and then becomes part of your regular bill from the next period on. Decreasing an add-on takes effect immediately; the unused portion is credited toward your next invoice rather than refunded instantly.

Payment, Refunds & Failed Payments

Payments are processed by Stripe. By subscribing to a paid plan you authorise us to charge your payment method for the applicable fees on a recurring basis until you cancel. Except where required by law, fees already paid are non-refundable, including for partial billing periods. If a payment fails, we may place your account into a grace period during which some features may be restricted; continued non-payment may result in suspension or cancellation of your subscription.

Changes to Plans & Pricing

We may change our plans, features, or pricing from time to time. Where a change affects your current subscription, we will give you reasonable advance notice before it takes effect on your next renewal.

Acceptable Use

You agree to use the Service only for its intended purpose of biosecurity, animal health, and farm-to-vet communication, to provide accurate information when reporting issues or incidents, and not to misuse the Service, attempt to disrupt it, or use it to store or transmit unlawful content.

Data & Content

You retain ownership of the data you submit to the Service, including records about your livestock, premises, and operations. Our collection and use of personal data is described in our Privacy Policy, which forms part of these Terms.

Termination

You may cancel your subscription at any time, subject to the notice period described above for annual plans. Before an organisation's subscription can be cancelled, the account holder must first remove all other team members and connected veterinary practices from the organisation — this ensures their access and associated data are properly removed rather than left attached to an organisation with no active subscription. We may suspend or terminate your access if you breach these Terms, misuse the Service, or fail to pay applicable fees after a reasonable grace period.

Disclaimers & Limitation of Liability

The Service is provided "as is" and is a communication and record-keeping tool — it does not replace professional veterinary judgment or diagnosis. To the maximum extent permitted by law, we are not liable for indirect, incidental, or consequential losses, and our total liability arising from your use of the Service is limited to the fees you paid us in the 12 months before the claim arose.

Governing Law

These Terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

Changes to These Terms

We may update these Terms from time to time. If we make material changes, we will provide reasonable notice before they take effect, such as by email or an in-app notice. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
